D. Deployment Survey

The next few sections will cover each survey discussed in the previous section. First, we will review how to successfully complete the FRF Deployment Survey.

Key information to remember

The most important thing to remember when working with Survey123 is to fill out each survey with as much information as possibleMore comprehensive records make it easier to understand the successes and shortcomings of our field operations and implement lessons learned. This information also helps us to better inform others about our work and raise funds for current and future missions.

Repeats

Repeats allow you to input multiple answers to the same question in a single survey. For example, if you have multiple beneficiaries (e.g. one person from the World Food Programme and another from the Red Cross) within the same beneficiary type category (e.g. “Responders”) and you want to record them both in the same survey rather than having to submit an individual survey for each organization. These Repeat sections are indicated in a survey by a yellow block of questions. More information about repeats and individual survey types will be explained in the following topics.

Location

As discussed in the above video, if your device is offline (no internet connection), which is likely to be the case, the location map preview will not be available. This means that you will not be able to change the location and will need to use your device’s GPS. Therefore, it is good practice to submit surveys at the location. (Do not worry if you do not see the map preview when you are submitting a survey, the survey is still recording your location.)

The “Location” question will look like the images below, depending on whether the app is online or offline.

NOTE: The “Location” is where you are when an action occurs. For example, the “Location” when you are distributing the fuel is where the team is located, not where the fuel itself is going. If you are filling out a survey after you have left a particular location and you have internet connection, you must manually set the location to the place where the survey is referencing.

1. When you are done with the survey, after clicking the checkmark, you will get these options, if you have internet connection.
a. Select Send Now. Once you see the Sent folder, nothing else needs to be done, the survey has successfully been uploaded.

If you do not see the Sent folder and you see Outbox, then you likely do not have enough of an internet connection to submit the survey.

2. If you do not have internet connection, after clicking the checkmark, you will get these options.

a. Select Save this survey in the Outbox and you will see an Outbox folder. Once you have internet connection, you need to remember to go back into the Outbox folder and select Send to upload all the surveys.

Saving a Survey

1. If you want to save the survey as a draft, click the X icon (top left) and you will get the following options. Click Save this survey in Drafts.

a. There will then be another folder under Collect, called Drafts.

b. When you want to add more information into the saved survey, click Drafts and you will see your saved survey(s) listed.

c. Click on the survey you want to add information to and it will open the survey where you left off.
